1. Who we are

The ClubHouse is published by HBB Marketing, a French SASU with a share capital of €100, registered office at 32 rue de Lourmel, 75015 Paris, France, registered under SIREN 902 527 274. Publication director: Frédéric Chacar.

We are the data controller for the personal data described here. For any question, or to exercise your rights, write to contact@the-clubhouse.app.

2. What we collect, and why

3. Your address book

If you choose to, The ClubHouse reads your phone's address book to find players you already know. This deserves to be described precisely, because it involves people who are not our users.

What is read: the names, phone numbers and email addresses in your address book. Entries without a name, or without any way to reach them, are skipped.
What we keep: phone numbers and email addresses are turned into a one-way fingerprint before being stored. They are never stored as readable numbers or addresses, and the fingerprint cannot be turned back into them — not by us, not by anyone reading our database.
Names are kept as they are. That is what lets us tell you, the day one of your contacts joins, that you already know each other. It is also what makes the profile you may see for a contact who has not joined yet.
Who sees it: only you. Your address book is never shown to another player, and never sold or shared for advertising.
Legal basis: your consent, given when you tap the button. You are told, before tapping, that your address book will be read and that you confirm your contacts agreed.
Withdrawing it: at any time, from Settings → Legal → Delete my imported contacts. Your fingerprints are erased, along with the profiles created for contacts nobody else knows. Profiles that another player also knows are kept, because they belong to that player too — but your link to them is removed.

4. Profiles created for people who have not joined

When a player adds someone who is not yet on The ClubHouse — from their address book, or by naming them as a partner — we create a profile for that person, marked as such throughout the app. It holds their name, a fingerprint of their number, and the matches other players have recorded with them.

If you are one of those people and you would like that profile removed, write to contact@the-clubhouse.app and we will erase it. If you join, the profile becomes yours: the matches and history recorded under it come with you.

5. Where you are

Location is never collected in the background. It is read only when you ask for it — by sharing your position, or by opening the map.

Your exact position is never shown to anyone. It stays on our servers and is used only to compute distances.
On the map, you appear as an area, not a point. Every shared position is offset by a random 400 to 1200 metres. The offset is fixed for you and never recomputed, so it cannot be averaged out by watching the map repeatedly.
Appearing on the map is off by default. It is turned on only when you accept, and you can turn it off at any time in Settings → Location.
Giving your postal code lets the app compute distances — it does not put you on the map. Those are two separate choices.

6. If you are a coach

A coach account holds the groups, sessions and students you manage, the price and payment status you record for a session, and the certification you describe in your own words.

We do not process payments. Prices and the "paid" mark are yours to record; no bank details ever reach us.
We do not ask for identity documents. To be accredited you may deposit a diploma and a proof of club attachment in a private folder. That folder is erased seven days after the decision, whatever it is, and after ninety days if nobody has reviewed it.
Your students see the sessions and groups they belong to. Nobody else does.

7. Who we share it with

We do not sell your data. We use the following processors, and only for the purposes below.

Transfers outside the European Union rely on the European Commission's standard contractual clauses or, where applicable, an adequacy decision.

8. How long we keep it

Deleted data may remain in our host's backups for a limited period before those backups are rotated out.

Closing your account

You can close your account at any time from Settings → Legal → Close my account. We ask you to confirm twice, and the account is closed within 24 hours. You can cancel until then.

Your matches are not deleted, and here is why. A match has two players, and the other player's ranking was computed with it. Erasing it would silently rewrite the ranking of someone who asked for nothing. Instead, everything that identifies you is removed — name, photo, contacts, position, phone fingerprint — and the match keeps an anonymous placeholder in your place. Nothing links it back to you, and your number cannot be used to recover the account.

9. Your rights

Under the GDPR you may ask us to:

access the personal data we hold about you;
correct it, if it is wrong;
erase it — the app does this itself, in Settings;
restrict or object to a particular use;
receive a copy in a portable format;
withdraw a consent you gave, at any time, without affecting what was lawful before.

Write to contact@the-clubhouse.app. We answer within one month. You may also complain to your data protection authority — in France, the CNIL.

10. Children

The ClubHouse is not intended for children under 15. If you believe a child has created an account, write to us and we will remove it.

11. Community rules — zero tolerance

The ClubHouse has no tolerance for objectionable content or abusive behaviour. Any player can report a profile — three report reasons, one tap — or block another player. Blocking removes that player and their content from your views instantly and notifies our moderation desk. Reports are reviewed within 24 hours; abusive accounts are removed.

12. Cookies and measurement on this website

This website uses Google Tag Manager, which loads Google Analytics, the Meta pixel and the TikTok pixel. Google Analytics measures how the site is used; the two pixels measure how our advertising performs and let us build advertising audiences. They read your device and browsing information on this site.

Nothing is loaded until you choose. Until you answer the banner, no script runs and no cookie is written; if you refuse, none ever is. Legal basis: your consent.

Your choice is remembered in your browser and nowhere else — we do not record who accepted and who did not. You can change it at any time: review my cookie choice.

The app itself contains no measurement tool: no analytics, no advertising pixel, no third-party tracker.

If we change this policy we will update the date above, and tell you in the app when the change matters.
